02. Information We Collect

We collect information in a few specific ways, and only what is genuinely needed to communicate with you and deliver our services.

Contact Form

When you reach out through the contact form on our website, we receive your name, email address, and the content of your message. This is submitted through Formspree, a third-party form processing service.

Session Booking

When you book a session or event, we collect your name, email address, phone number (if provided), and any session preferences or notes you choose to share. Booking is managed through the Amelia booking plugin on our WordPress site.

We do not collect, see, or store your payment card details. Payment is processed entirely and securely by our third-party payment provider.

Newsletter Subscription

If you choose to subscribe to the KoldSpace newsletter, we collect your email address. Signing up is always opt-in — we will never add you to a mailing list without your explicit consent.

Website Usage Data

We may collect basic, anonymized data about how visitors use our website — pages visited, time on site, and general location by country or region. This data cannot be used to identify you personally and helps us understand what is useful and improve the experience over time.

What We Do Not Collect

We do not collect or store payment card numbers, bank account details, government ID numbers, or any similarly sensitive financial information. We also do not collect health or medical information beyond what you voluntarily share with us in the context of preparing for a session.

We use the information we collect only for the purposes listed below. We do not sell, rent, or trade your personal information to any third party — ever.

  • To respond to your inquiries. When you contact us, we use your name and email to reply. That is all.
  • To confirm and manage bookings. Your booking information is used to schedule sessions, send confirmations and reminders, and communicate any changes or follow-ups related to your appointments.
  • To send newsletters and updates. If you have opted in, we use your email address to send reflections, offerings, and announcements from KoldSpace. You can unsubscribe at any time.
  • To improve our website and services. Anonymized usage data helps us understand what resonates and where we can do better.
  • To maintain necessary business records. For example, keeping a record of completed sessions for service history or accounting purposes.

We will never use your information for automated decision-making, profiling, or any purpose that is incompatible with why you originally shared it with us. We will always ask before expanding how we communicate with you.

05. Third-Party Services

To provide our services, we work with a small number of trusted third-party platforms. Each handles data according to their own privacy policy, linked below where available.

Formspree — Contact Form

Amelia Booking Plugin — WordPress

Session bookings are managed through the Amelia plugin on our WordPress site. Booking details — your name, email, and session information — are stored in our secure WordPress database. View the Amelia Privacy Policy.

Newsletter Platform — Mailchimp / ConvertKit

For newsletter communications, we use an email marketing platform (Mailchimp or ConvertKit — this page will be updated once finalized). If you subscribe, your email address is stored with this provider and used only to deliver KoldSpace communications you have opted into. Every email includes an easy unsubscribe link.

Payment Processing

Payments for sessions are processed by a third-party provider such as Stripe or Square. We do not receive, see, or store your payment card details. Please review your payment provider's privacy policy for full details on how they handle your financial information.

Google Fonts

Our website loads fonts from Google Fonts, which may log your IP address as a standard browser request. View Google's Privacy Policy for details.

We periodically review our third-party providers. This list will be updated if our tools change.

06. Data Retention

We retain your information only for as long as necessary to fulfill the purpose for which it was collected, or as required by applicable law.

  • Contact form submissions are kept as long as needed to respond to your inquiry and for reasonable follow-up — typically no longer than two years from last contact.
  • Booking records are retained for the duration of our client relationship and for a reasonable period afterward for service history and accounting purposes.
  • Newsletter subscribers remain on our list until they unsubscribe. You can do this at any time via the unsubscribe link in any email, or by contacting us directly.
  • Analytics data is aggregate and anonymized; we do not retain identifiable usage data.

You may request deletion of your personal data at any time. We will fulfill such requests promptly, subject only to any legal obligations we may have to retain certain records (for example, tax or accounting records).
